By using our telehealth services, you acknowledge that electronic communication carries inherent risks, and you consent to the use of these technologies for your care. We implement reasonable safeguards to protect the privacy and security of telehealth communications.
5. AI-Assisted Documentation and Call Recording
To improve the accuracy and quality of your care, Atlas Men's Health utilizes the following technologies:
AI Medical Transcription (HEIDI Health)
We use HEIDI, an AI-powered medical transcription platform, to assist with clinical documentation during in-person visits and telephone consultations. HEIDI listens to provider-patient conversations and generates clinical notes, which are reviewed and finalized by your provider. Key facts about this technology:
- HEIDI is a HIPAA-compliant platform designed specifically for healthcare
- Audio is processed in real-time and is not permanently stored by the transcription service after notes are generated
- All AI-generated notes are reviewed, edited, and approved by your licensed healthcare provider before being added to your medical record
- AI transcription is used as a documentation tool only — it does not make clinical decisions, diagnoses, or treatment recommendations
- You have the right to opt out of AI-assisted transcription at any time by informing your provider at the start of your visit
Practice Management System Recordings (Zenoti)
Our practice management platform, Zenoti, may record and store telephone calls and communications for quality assurance, training, appointment verification, and compliance purposes. These recordings are stored securely within the Zenoti platform and are subject to the same privacy protections as your other health information.
Your Rights Regarding AI and Recording
- You will be informed when AI transcription or call recording is in use
- You may request that AI transcription be turned off during your visit — your provider will document notes manually instead
- You may request copies of AI-generated clinical notes as part of your medical record (see Section 10: Your Rights)
- Opting out of AI transcription or recording will not affect the quality of your care or your eligibility for any services

8. Data Security
We implement physical, administrative, and technical safeguards to protect your information from unauthorized access, use, or disclosure. These include encrypted data transmission (SSL/TLS), secure servers, access controls, staff training, and HIPAA-compliant systems. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Data Retention
We retain personal information and medical records for as long as necessary to provide services and as required by applicable state and federal law. In New York, medical records are generally retained for a minimum of six (6) years from the date of last treatment, or longer as required by law.
